Applicant privacy notice

What we collect when you apply, why we need it, and what happens to it afterwards. We delete applicant data 90 days after the opening closes.

Version 2026-09-03.1 · Effective 3 September 2026

Who is collecting this, and why

FlightBoard is a software company based in Seattle, Washington, United States. We collect the information on this form for one purpose: to assess your application for a FlightBoard internship and, if you are selected, to make you an offer.

We do not use it for marketing. We do not sell it. We do not share it with anyone outside FlightBoard except the service providers listed below, who process it on our instructions in order to run this application system.

What we collect

Only what the application form asks for:

InformationWhy we need it
NameTo identify your application and address you correctly
Email addressTo confirm receipt and to contact you about your application
Phone number (optional)To reach you about an interview if email fails
Location and countryTo confirm eligibility for the role’s location
EducationTo assess your background
Resume (PDF)To assess your background
Links you provide — GitHub, LinkedIn, portfolio, project, demo videoTo review the work you have chosen to show us
Your written answersTo assess your application
AI usage disclosureTo understand how you produced the work you submitted
A one-way hash of your IP addressTo detect automated abuse of this form. The address itself is never stored.
Your browser’s user-agent stringThe same purpose

We do not ask for sensitive information

Please do not include your date of birth, government identifiers (Aadhaar, PAN, passport, social security number), bank or payment details, photographs, health information, caste, religion, or marital status — in the form or in your resume. We do not need any of it to assess your application, and we would rather not hold it.

If you send it anyway, we will remove it where we reasonably can.

How long we keep it

We delete applicant data 90 days after the opening you applied to closes. This is enforced automatically: every application is given a deletion date when it is submitted, and a scheduled job removes the record and the resume file once that date passes. It does not depend on anyone remembering.

The only exceptions are where we are required by law to keep something, or where you are offered and accept an internship — in which case the records we need in order to engage you are retained, and we will tell you what those are.

If you ask us to delete your application before then, we will.

Where it is stored, and who processes it

This application system is separate from every other FlightBoard system. It has its own database, its own hosting, and its own access control. Applicant data is not accessible from the FlightBoard product, and FlightBoard interns do not have access to it.

Your data is stored and processed in the United States. That means it is transferred outside India. We use the following providers, and no others:

Who can see it

Only named FlightBoard reviewers, who sign in with a company email address and a single-use code. Resumes are stored in private storage and are never publicly accessible; a reviewer opening one generates a link that expires in five minutes, and every access is logged.

Your rights

Grievances

Contact internships@flightboard.app with anything you are unhappy about regarding your data. We will acknowledge within 7 days and aim to resolve within 30. If we do not resolve it to your satisfaction, you may complain to the Data Protection Board of India.

Automated decisions

No application is accepted or rejected automatically. Every decision is made by a person reading your application.

If something goes wrong

If applicant data is exposed in a way that could affect you, we will notify you and the relevant authority as required.
